Terms & Conditions

Booking regulations, deposit policies, mountain climbing liabilities, and safety terms governing all Beacon Safaris & Trekking itineraries across Tanzania.

1. Booking, Deposit & Confirmation

A reservation is officially confirmed once Beacon Safaris & Trekking receives a non-refundable deposit of thirty percent (30%) of the total quotation value, along with complete passport details for all travelers.

This deposit enables us to secure mandatory TANAPA/KINAPA park conservation permits, domestic bush flights, and luxury lodge accommodations on your behalf.

2. Payment Terms & Currencies

The remaining balance of seventy percent (70%) is due strictly forty-five (45) days prior to your designated arrival date in Tanzania. For reservations initiated within 45 days of arrival, 100% full settlement is required at the time of confirmation.

All quotes are denominated in United States Dollars (USD), unless expressly stated otherwise in writing. Payments may be made via international wire transfer or authorized secure credit card gateway (DPO Group).

3. Cancellation & Refund Policy

All cancellation notifications must be submitted in writing via email to your designated safari planner. The cancellation fees apply as follows:

  • More than 60 days before arrival: Deposit retained or credited toward future expedition dates within 12 months (less unrecoverable lodge and permit fees).
  • 59 to 31 days before arrival: 50% cancellation fee of the total expedition cost.
  • 30 to 0 days before arrival (or no-show): 100% cancellation fee (no refund), due to committed lodge room blocks and statutory non-refundable park entry fees.

4. Itinerary Adjustments & Force Majeure

While Beacon Safaris & Trekking makes every effort to execute published itineraries without alteration, we reserve the right to modify routes, lodging, or transport when dictated by adverse weather conditions, river flooding, volcanic/geological events, national park authority closures, or flight schedule revisions. We are not liable for costs stemming from force majeure events.

5. Medical Fitness & Kilimanjaro High Altitude

Climbing Mount Kilimanjaro (5,895m / 19,341 ft) entails inherent physiological risks associated with extreme altitude, including Acute Mountain Sickness (AMS), High Altitude Pulmonary Edema (HAPE), and High Altitude Cerebral Edema (HACE).

Travelers are obligated to disclose pre-existing medical conditions prior to arrival. Our lead mountain guides conduct twice-daily pulse oximeter readings. The lead guide retains ultimate and unreviewable authority to order an immediate descent if a climber's health or vitals pose an imminent life safety risk.

6. Mandatory Travel & Evacuation Insurance

Comprehensive travel insurance is a mandatory prerequisite for all travelers participating in Beacon Safaris & Trekking expeditions. Your policy must explicitly cover emergency medical treatment, high-altitude trekking up to 6,000 meters (for Kilimanjaro climbers), emergency helicopter evacuation, trip cancellation, and baggage loss.

7. Wildlife Conduct & Guide Authority

All safaris operate in unconfined wilderness areas alongside wild animals (predators, elephants, buffalos). For your safety and that of the wildlife, travelers must adhere strictly to the instructions of their certified safari driver-guide at all times, including remaining seated inside the vehicle during game drives unless instructed otherwise at designated picnic sites.

8. Fair Porter & Mountain Crew Standards

Beacon Safaris & Trekking is dedicated to ethical tourism and fair porter treatment. All porter loads are strictly weighed and limited to statutory maximums (maximum 20kg per porter). Our crew receives warm mountain apparel, sleeping tents, three nutritious hot meals per day, and fair, transparent wages conforming to international porter advocacy standards.

9. Limitation of Liability & Governing Law

Beacon Safaris & Trekking, its directors, employees, and agents accept no liability for personal injury, illness, delay, damage, or loss of personal property arising from circumstances outside our direct control. This agreement shall be interpreted and governed exclusively by the laws of the United Republic of Tanzania, and the courts of Arusha shall possess exclusive jurisdiction.
